Terms and Conditions
“You” refers to the participant booking or attending a class, workshop, event or private lesson.
“CCD” refers to Charlie Cooper Dance, operated by Charlotte Cooper.
UPDATED FEBRUARY 2026 - CCD reserves the right to amend these Terms & Conditions at any time. The most current version will always be available via the booking system and website.
1. Fees and payment
All bookings are to be made via the booking system. www.bookwhen.com/charliecooperdance
Bookings via any other means - bank transfer, messaging etc is not valid and will result in your place not being booked.
2. Cancellation Policy -
2.a.Class Bookings - All bookings are non-refundable and non-transferable. Please ensure you are able to attend before booking. Refunds will only be considered when the class is sold out and the space can be successfully filled.
2.b Private Lesson Cancellation - Cancellations made by you:

More than 14 days before the session: no charge.

Between 14 days and 7 days before the session: studio hire cost remains payable.

Within 7 days of the session: full lesson fee payable.
2.c Cancellation of The Dance Retreat, The Industry Weekender and Guest Workshops
Bookings made are non refundable and non-transferable. Please ensure you are able to attend before booking. Transfers may be permitted if the event is sold out and you find a suitable replacement.
2.d Any refunds given, will have a 10% deduction administration fee to cover transaction costs.
2.e Cancelled by Charlie Cooper -- If any of the above is cancelled by CCD, a full refund or an alternative date will be offered.
3. Class:
3.a Please aim to arrive 5-10 minutes early to prepare for lesson, thus ensuring a prompt start. For health and safety reasons, participants who miss the warm-up will not be permitted to join the class.
3.b You understand that in some circumstances (particularly private lessons), you may be alone in the building with CCD.
3.c Dancing is a physical skill and in order to help and facilitate the student’s learning, CCD may physically guide a movement by touch. This will be in a professional manner and the intention of the contact will be made clear. Please contact CCD if you have any queries regarding this.
3.d You agree that you will not be under the influence of any alcohol or drugs when partaking in any class, workshop, event, rehearsal or performance with CCD.
3.e Please note that booking individual drop-in sessions does not guarantee availability in other classes that month. To secure your place in all sessions, the full monthly course must be booked. This structure also supports consistency and continuity within the class.
3.f By booking a class, you confirm that you are selecting a level appropriate to your current ability and experience. Participation in a class above your current level may increase your risk of injury. CCD will not be responsible for injuries resulting from a participant selecting a class beyond their ability, except where caused by negligence. (See Class Guidelines if you are unsure on which level you should book)
3.g For the best experience and progression, participants are encouraged to join at the beginning of a monthly course where possible. Participants joining a monthly course in Week 3 or Week 4 acknowledge that choreography will already have been taught in previous weeks and may find themselves at a disadvantage if they have not attended earlier sessions. CCD is not obligated to provide additional catch-up tuition, recap sessions, or refunds in these circumstances. Availability and course structure will be clearly outlined within the booking system prior to purchase.
4. By partaking in a lesson, private lesson, workshop, performance with CCD, you agree with the following:
You agree that you are in good physical health. Any relevant limitations must be disclosed prior to participation and, where appropriate, cleared with a GP before taking part in classes or events. You agree to follow all safety requirements set by CCD, including not wearing socks or jewellery and ensuring long hair is tied back. understand that dance is a physical activity and involves inherent risks, including the risk of injury. By participating, you acknowledge and accept these risks. You confirm that you are physically fit to take part and will inform CCD of any relevant medical conditions or limitations prior to attending. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence. You are aware of your physical limitations and agree not to exceed them. You agree that you are not under the influence of any drugs or alcohol when attending any class, performance, private lesson or workshop associated with Charlie Cooper Dance. Any happenings will result in instant dismissal from the event.
5. Data Policy
Personal information provided during booking is processed in accordance with UK Data Protection law.
Information is used solely for the administration, safety and delivery of CCD services and will not be shared with third parties without consent unless required by law. Your information is stored for Charlie Cooper Dance purposes only. Information collected may include contact details (including emergency contact information), relevant medical information and pronouns where required for the safe delivery of services. This information is collected to ensure the safe and effective delivery of classes and events
6. Booking Classes
When booking onto a class, it is assumed that you have read and agree to these terms and conditions.
